JOB TITLE: Associate Live Producer

Job Summary:
The Associate Producer supports the production team's efforts from project inception to final delivery. This position involves maintaining production documents, tracking budget data, coordinating logistics and travel arrangements, and providing on-set support. Additionally, the AP drafts contracts, assists with crewing and vendor paperwork, and ensures smooth communication with clients, talent, and crew. The role demands strong organizational skills, attention to detail, and the ability to work independently and as part of a team in a dynamic environment.

Essential Functions:
· Assist in producing various live projects, including live broadcast programs, in-person and virtual live events, and shows.
· Work closely with Producers to help manage organizational logistical tasks for production.
· Serve as the point of contact for assigned projects, including advising and guiding content partners and leading communications and meetings with key stakeholders.
· Assist and project manage complex live productions from creative development to final delivery, including meeting key milestones and deliverable dates.
· Work closely with multiple event crews, production, streaming, engineering teams and vendors to execute engaging and impactful live shows and events.
· Manage organizational and logistical tasks for assigned projects, including budget creation, location scouting, crew assembly, travel arrangements, creating production schedules, call sheets, run-of-show generations, asset management, obtaining permits and releases, managing talent, technical crew supervision, set direction, assisting in rehearsals, tech checks, and regular partner meetings.
· Assist with maintaining internal project management systems, entering new resource requests and new project requests, and updating calendars and schedules for productions, gear, and studio bookings with Air Table.
· Support the creation of monthly documentation, production schedules, and project budgets.
· Work directly with Producers, Postproduction, Account Management, the Manager of Production, and the Director of LMP to ensure that all production and company rights, releases, policies, and guidelines are followed.
· Follow and implement brand guidelines and best practices on every project.
· Participate weekly in 15-25 Staff, Team, Project, and Production meetings.
· Consistently deliver clear, concise, and well-written communication.
· Finalize and hand off all video project deliverables per the client's agreed-upon timeline.
Other Duties/Responsibilities:
· Collaborate with the equipment manager to prepare gear and support Producers with load-in and load-out duties.
· Occasional travel required.
Required Skills/Abilities:
· 3+ years of professional experience in developing and executing live productions. Production agency and live event experience are a plus.
· Self-starter who can effectively meet all deadlines by independently prioritizing tasks across multiple projects and anticipating needs.
· Practical experience and knowledge of current pre-production, production, and post-production standard practices.
· Basic understanding and ability to implement and manage various production roles in a studio and field environment.
· Efficient organizational and time-management skills, strong attention to detail, and the ability to self-motivate and manage are essential.
· Exceptional oral and written communication skills.
· Experience with the following tools, software, and programs: Air Table, Frame io, StreamYard, Shoflo, Microsoft Office 365 applications (Outlook, Excel, PowerPoint, Teams), and Google Sheets.
· Positive can-do attitude.
· Ability to work both independently and as part of a team.
· Ability to keep calm under pressure and make on-the-ground independent judgment calls in rapidly changing environments.
· Creative problem-solving skills and ability to represent the company effectively in client interactions.
· Strong references.
· Must have a Valid Driver’s License and a vehicle.
· Experience working with cross-functional teams.
· Solid understanding of best practices in scheduling, permitting, scouting, legal issues concerning production, and negotiating with vendors.
· Availability and willingness to engage in potential travel in the future.
Education and Experience:
· Bachelor’s degree in film/television or equivalent practical experience.
· Proficiency with Microsoft Office 365 applications (Outlook, Excel, PowerPoint, Teams).
· Experience with project management tools such as Asana or similar.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
Work Environment:
· This role routinely requires using standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers.
· This position may require the ability to stoop, kneel, crouch, or crawl.
· Must be able to operate various electronic devices.
Position Type/Expected Hours of Work:
This role is designated as Hybrid - CA. Hybrid combines remote and in-office / on-site work in the Greater San Francisco Area. You are expected to work in person at our client’s office in Sunnyvale, CA, as the client requires. This role will be expected to work remotely when there is no onsite work. The office generally operates from 9 am-5 pm, but the days and hours of this position may vary week-to-week. A willingness to work varying schedules, including weekends, nights, holidays, long shifts (10+ hours), and/or travel as needed is required for productions. Work location may vary due to Covid protocols and safety. Mighty Media’s workplace policies are subject to change at any time based on business necessity and manager discretion.
Additional Information:
· This role will perform work for certain clients of the Company that continually assess their budgets and their relationship with the Company. The Company responds to these assessments appropriately when it receives them by adjusting the number of employees necessary to service the clients’ requests.
· Per state and local pay disclosure requirements, the pay for this role is $93,600.00 – 104,000.00/annually. Compensation will be determined based on the applicant's skills, qualifications, and experience, along with the position's requirements, and the Company reserves the right to modify this pay range at any time. For this role, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
